Terms and Conditions of booking and hire

This agreement is made between Davanco Leisure And the Hirers signing the rental agreement

Davanco Leisure hires the vehicle to you subject to this rental agreement. You the hirer are accepting these terms and conditions as part of the booking process. These are available on our website, accepted and sent to you at the time of your booking and signed by you at the point of vehicle collection. We permit you to use the vehicle on the terms and conditions of this rental agreement only. 

Definitions of Terms and Conditions: 

"The Hirer/you" refers jointly and severally to the person or persons who are named on the rental agreement. 

"This Agreement'" means the Rental Agreement, the insurance Motor Rental Agreement and these Terms and Conditions. In the event of any discrepancy between these Terms and Conditions and any other literature, the provisions of these Terms and Conditions shall apply. 

"Rental Period" means the dates and times set out in the Rental Agreement or any agreed variation thereof and any additional period during which the vehicle is in the Hirers possession or control. 

"Us/we" Means Davanco Leisure

"Vehicle" means the vehicle described under the heading "Vehicle Details" in the Rental Agreement and includes tyres, tools, accessories, the equipment and any other special equipment, documents related to the Vehicle and any replacement or substitute Vehicle that may be provided at the discretion of Davanco Leisure.

"Security Deposit" means the Vehicle security deposit detailed under the heading "Vehicle Security Deposit" in the Rental Agreement.

**Covid-19 update**

Cancellation policy specifically relating to Covid 19 only. In the event that enhanced restrictions are introduced at the time of the pickup date meaning the hirer cannot travel (i.e. a restriction specifically relating to a hirers home postcode or a complete National lockdown restricting any travel) then we would offer the hirer an opportunity to transfer/reschedule their dates to an alternative booking date within 12 months of the original booking date. If the hirers chosen travel destination has local restrictions or the Government are advising not to travel there, we would not offer a transfer/cancellation as the booking can still go ahead in an alternative location that is not impacted by restrictions.

Any transfer/reschedule of dates will be subject to availability and may incur addtional costs depending on the season. No dates can be re-scheduled to take place between the months of July and September inclusive.

We will not offer a transfer or cancellation of the booking if the Hirer is self-isolating. We always recommend that you have sufficient travel insurance to cover you for your booking.

Bookings, payments

Bookings can be made on our website, over the phone or in person. A deposit of £150 is required at the point of booking to secure the dates, with the balance due 6 weeks prior to the hire start date. Payments can be made using any of the cards displayed on our website. All prices shown are in GBP


Deposits are non-refundable in the event of cancellation by the hirer. No refund will be given for cancellation by the hirer, if the cancellation is within 6 weeks of the rental period start date. Cancelations greater than 6 weeks from the hire start day will be fully refunded minus the non-refundable deposit. Any kind of voucher purchased is non-refundable.

Unforeseen cancellation by us

In the unfortunate event that we do not have a vehicle available for hire due to theft, breakdown or the vehicle has been damaged and undrivable, we will fully refund all monies paid but will not be held liable for any other missed functions, costs or losses.

Security Deposit

A security deposit of £500 (or £750 for festival use) will be taken at the point of collection. This must be paid by the hirers credit card or BACS. Cash is not accepted. If payment is made by BACS, the security deposit funds must be cleared before the start of the rental period. The security deposit will be released/refunded within 5 working days of the end of rental period providing the terms and conditions of the rental are met, subject to final audit. 

Should any damage or loss exceed the security deposit the hirer will be responsible in settling the additional costs, similarly if any damages do not exceed the security deposit Davanco Leisure will only charge for the necessary amount.

Driver age and licences

All drivers must be between 25-75 years of age and have held a UK/EU licence for a minimum of 2 years with less than 6 penalty points, with a maximum of 3 points per conviction. Any driving conviction and/or accidents within the last 5 years regardless of fault must be declared at the time of booking, the hirer must not have been involved in more than 1 fault incident within the last 3 years. Has not obtained a BA,DD or UT conviction. It is also required that all drivers declare their occupation at the time of booking, this is for insurance purposes.

Driver Identification

All drivers must provide the following, which must be provided no later than 4 weeks prior to the hire start date.

NB These documents need to be dated within 90 days of the hire date to satisfy our insurers:

·         A scanned copy of your photo card driving licence (for each driver).

·         A DVLA licence check code so we can view licence details before you arrive (for each driver). Click here for instructions on how to do this.

·         Two other proofs of address (for each driver) that show the document date, your name and address which must also match your driving licence. 

The following only are acceptable:

·2 Different utility bills from this list (gas, electric, water, satellite television, landline phone bill)


·1 Utility bill from this list (gas, electric, water, satellite television, landline phone bill) 

·1 Bank or credit card statement

When you collect the vehicle, you must bring along your photocard driving licence. Davanco Leisure cannot be held responsible for any lost holiday time as a result of you not bringing the correct documentation. 

Please note that the vehicle is not insured outside the contract of hire.

Additional drivers

If you wish to add an additional driver, all drivers must be agreed and included in the rental agreement prior to the start of the rental period. The insurance of the vehicle will automatically be void should anybody drive the vehicle who is not named on the rental agreement.


Our vehicles are supplied to you with fully comprehensive insurance. Should an insurance claim be made by us or a third party, we will use the hirers security deposit to cover the excess. If the incident involves a third party and it is proven at a later date by the insurers that the hirer is at fault. The hirer will be fully liable and we reserve the right to charge the hirers credit card up to the value of the security deposit. Any insurance cover or waiver is automatically void should any of the following scenarios occur:

·If the driver is under the influence of drugs or alcohol

·If the vehicle is driven off-road, or driven without due care and attention

·If the vehicle is driven by anyone other than those named on the rental agreement

·If the vehicle is carrying more than 4 passengers, this excludes the driver

·Any damage caused by an unauthorised third party towing the vehicle away

·If the vehicle has not been adequately locked or secured

·If any of the terms and conditions in this rental agreement have been breached

In this event, the hirer will be held fully liable for all costs up to the full amount of the vehicle for any damages or losses which may exceed your deposit.

Fines and Liability 

The hirer is responsible for any penalties/fines including parking fines, tolls and speeding tickets during the rental period. You also authorise your personal data to be passed on to any company/government body if requested.


Full UK & EU breakdown cover is included in your rental agreement (subject to there being no hirer negligence or any breaches in these terms and conditions).  In the event the van is undrivable and cannot be fixed at the roadside or a reasonable amount of time, you will be taken back to the camp or recovered back to us.  We will attempt to provide you with a replacement van, however should this not be possible, Davanco Leisure will reimburse the hire cost for the days lost. Davanco Leisure will not be held liable for any other missed functions, costs or losses. We recommend that you check your travel insurance to make sure all eventualities are covered.


In the event of any accident, loss or damage arising out of the use of the vehicle, the Hirer will notify Davanco Leisure immediately, 

Regardless of fault it is important that you take the following action:

Stop as soon as possible, in a safe place. If anybody has been injured, call the police and ambulance service. Make a quick sketch of the direction and final position of each vehicle.

You will need to make a note of:

· The vehicle registration number, name and address of any other drivers involved in the accident.

· The number of passengers in each vehicle.

· The name and address of anyone who is injured (or suggesting they have been injured).

· The name and address of any witnesses to the accident.

· The name, number and constabulary of any police officer who attends the accident.

If you are able to do so, try and take photographs to support the positions of the vehicles and the extent of damage. You must give your own details to anyone who has reasonable grounds for requesting them. Do not admit responsibility, either verbally or in writing. Instead, simply supply your details along with our policy number to the other driver(s)/person(s) involved in the accident and ask him/her to call the claims advisors on 0344 705 8183. By passing these details to the other person(s) involved in the accident you will give him/her the opportunity of obtaining assistance in progressing repairs and assisting with the provision of a courtesy vehicle if the circumstances of the accident warrant this. If for any reason you have not been able to exchange details with other drivers or owners of property, or you were in collision with an animal, you must report the accident to the police as soon as possible and certainly within 24 hours of the accident.

Also, the Hirer will complete a European accident report form as relevant, not make any admission of liability to other parties, settlement offer or other like offer. 

The Hirer undertakes to assist Davanco Leisure in handling any claim arising from any event, including providing all relevant information and attending Court to give evidence.

Personal Travel Insurance

It is the hirer's responsibility to provide their own insurance to cover all eventualities including lost holiday time, personal items and belongings, and personal injury in the event of an accident.

Collection & return of vehicle

You acknowledge and agree that the vehicle hired to you is in a roadworthy and full operating condition with no damage, mechanical or otherwise unless stated on the issued condition diagram.  You also acknowledge that the condition diagram accurately reflects the condition of the vehicle. A strict £50/hour penalty will be charged for returning the vehicle late, without prior agreement. If Davanco Leisure grants an extension of the vehicle hire this must be paid for in full immediately by credit or debit card. Davanco Leisure will then send you a new rental agreement detailing an extension. Failure to obtain an authorised extension will result in a lapse of insurance cover and you will be deemed liable, plus additional late fees for unauthorised use. Should the vehicle not be returned by the time and date on the rental agreement, it may be treated as stolen and reported to the police. Should the vehicle be returned early no refund will be given. You are welcome to leave your vehicle at our property but we will not responsible or liable for any damage or loss.

Use of the Vehicle

The Vehicle is not to be driven otherwise than in a cautious, prudent and normal manner; used in a manner which could cause damage; driven in a prohibited area or in an area other than the areas indicated to me by Davanco Leisure; driven by a person under the influence of alcohol or drugs or with a blood alcohol level in excess of that permitted by law; left with the ignition key in the vehicle while it is unoccupied; steering lock applied and valuables concealed; damaged by submersion in water; put into contact with Salt Water; used for any illegal purpose for any race, rally or contest; used to tow any vehicle or trailer; used to carry passengers or property for hire or reward; used to carry volatile liquids, gases, explosives or other corrosive or inflammable material; or otherwise used in breach of the Hirers obligations under this Agreement. 


The Hirer shall take all reasonable steps to properly maintain the Vehicle, including oil checks and water, and acknowledge that Davanco Leisure will reimburse the Hirer for expenditure up to £100 reasonably incurred in rectifying any mechanical failure to the engine of the Vehicle, provided that the Hirer produces relevant receipts at the end of the hire period and have received the prior consent from Davanco Leisure and that the damage is not due to any fault or by breach of this Agreement of the Hirer. 

Alterations to the Vehicle

The Hirer shall not make any alterations or additions to the Vehicle without the prior written consent of Davanco Leisure. 


The Hirer will not allow anyone to smoke in the vehicle as Davanco Leisure has a no smoking policy in all of their vehicles.  A valeting charge will be incurred by the Hirer if this policy is ignored.


We welcome pets. Pets must be disclosed at the point if booking and only pets that we confirm are acceptable may be brought into the vehicle. All damage, however caused by your pets, will be charged to you. You undertake to comply with current law concerning the carriage of animals when travelling in the vehicle at all times. Pets must never be left alone or unsupervised in the vehicle. 

Theft or loss of the vehicle

You must take all reasonable steps to ensure that the vehicle is secure. If it is discovered that you were negligent in any way to cause the theft or loss of the vehicle, you will be held fully liable and Davanco Leisure will hold you fully accountable up to the full cost of a replacement vehicle. 

Damage to the vehicle

The vehicle must be returned in the same condition as at the time and date at the start rental period. The hirer will be fully liable for all damages, which may exceed your deposit. It is the responsibility of the hirer to ensure that signed condition diagram accurately represents the condition of the vehicle. Damages and losses include but are not limited to:

·Any scratch, scuff, chip or dent on the vehicle bodywork

·Any scratch, scuff or chip on the alloy wheels

·Any tyre damage including punctures

·Window and windscreen damage

·Any damage to the pop top roof or its operation

·Burnt out clutch

·Damage caused by insufficient engine oil level

·Damage caused by insufficient engine coolant levels

·Damage caused to fitted units and doors through negligence

·Damage caused to seats, interior or floor through negligence


Hire vouchers can be purchased through Davanco Leisure, these are non-refundable and expire 12 months from the purchase date. Note that our hire prices can change without notice depending on availability and time of year. Prices shown at the time of voucher purchase cannot be honoured.

Do's and don'ts

Any accidents or damage through failing to abide to the list of do's and don'ts will be treated as negligence and you will be held fully liable.

·Smoking is not permitted in the vehicle, any evidence found of this being breached will result in a fine of £50 being deducted from your security deposit. We pride ourselves in keeping our vehicles in top condition.

·The vehicle must only be used on tarmac roads. 

·The van must be returned in the same clean condition as at the start of the rental period, this includes all cooking utensils and appliances.

·Do not use any gas appliance to heat the van under any circumstances, carbon monoxide fumes can be fatal.

·Open all windows and side door whilst cooking.

·Turn the gas off at the tap on the gas cylinder when not in use.

·All training and instruction will be given prior to you leaving our premises on how to operate/use all items/equipment in the vehicle.

·Make sure that the pop top roof is fastened and secure before driving away. Failure to do this can result in costly damage to the roof and vehicle.

·Make sure that the hook-up lead has been disconnected from the vehicle before driving away.

Fuel policy

All of our vehicles are diesel and must be returned with the same amount of fuel as it was hired out to you, which will be noted on the rental agreement. An administration fee of £15 plus the cost of refilling will be applied if necessary.

Release and Indemnity of Davanco Leisure

Subject to its obligation to deliver the Vehicle or an appropriate substitute vehicle, the Hirer releases Davanco Leisure, its employees and agents, from any liability to the Hirer (regardless of who is at fault) for any loss or damage incurred by the Hirer by reason of this Agreement, including but not limited to any loss or damage caused by breakdown, mechanical defect, accident or the Vehicle being unsuitable for the hirer's purpose, any loss or damage to any property left in or on the Vehicle, in any service vehicle or on any Davanco Leisure premises or recovered or handled by Davanco Leisure. Subject to any insurance arrangements agreed with Davanco Leisure, the Hirer hereby indemnifies and shall keep indemnified Davanco Leisure, its employees and agents against any claims, demands and expenses (including legal costs) incurred or sustained by them or any of them by reason of the hirer's use and/or possession of the Vehicle.

Please note

Any changes to this agreement must be in writing and must be signed on behalf of Davanco Leisure and by the Hirer. 

This agreement shall be governed by English Law 

This Agreement, constitutes the entire agreement of the parties and there are no other oral undertakings, warranties or agreements between the parties relating to the subject matter of this agreement. Davanco Leisure reserves the right to add or amend any rental charges without prior notice.
